Tracking Signatures

Docu Ninja provides real-time tracking for every document you send. You can see exactly where each document stands in the signing process.

Document timeline

The timeline shows a chronological record of all events for a document:

  1. Open a document.
  2. Click Timeline.
  3. View events such as:
    • Created — when the document was created
    • Sent — when invitations were sent
    • Viewed — when a signatory first viewed the document
    • Opened — when a signatory opened the signing interface
    • Signed — when a signatory completed their signature
    • Completed — when all signatories finished signing

Each event includes a timestamp and the name of the person involved.

Invitation tracking

For each signatory, Docu Ninja tracks four key dates:

These dates are visible on the document's detail page next to each invitation.

IP address tracking

For compliance and audit purposes, Docu Ninja records the IP address associated with each event:

  • Viewed IP — the IP address from which the document was first viewed
  • Opened IP — the IP address from which the signing interface was opened
  • Signed IP — the IP address from which the signature was submitted

This information is included in the audit log.

Audit log

The audit log is a comprehensive PDF document that records the entire signing history:

  1. Open a completed document.
  2. Click Audit Log.
  3. Download the PDF.

The audit log includes:

  • Document metadata (name, ID, creation date)
  • Complete timeline of all events
  • Signatory names and email addresses
  • Timestamps for each action (sent, viewed, opened, signed)
  • IP addresses for each action
  • Document hash values for integrity verification

The audit log is automatically generated when a document reaches Completed status. It serves as evidence of the signing process and can be used for legal and compliance purposes.

Document integrity

Docu Ninja generates SHA hash values for documents:

  • Original hash — computed when the document is first uploaded, proving the original content has not been altered.
  • Completed hash — computed when the signed document is generated, proving the completed document is authentic.

These hashes are included in the audit log for verification.
